Concierge East Africa Limited ("CEAL", "we", "us", "our") provides towing, roadside rescue, security, and cleaning services in Kenya, and operates an internal operations platform ("CRS") used by our staff and outsourced partners to manage jobs, invoicing, and customer records. This policy explains what information we collect, how we use it, and how it is protected — including for our accounting integration with QuickBooks Online.

Who this applies to

This policy covers information collected through concierge.co.ke, our CRS operations platform at crs.concierge.co.ke, and related services (WhatsApp, phone, and email contact with our dispatch and finance teams).

Information we collect

• Customer and requester details — name, phone number, email, billing address, and business/account information provided when requesting a tow or other service, or when a business account is set up (individuals, garages, fleets, or insurers).
• Job and vehicle information — pickup and drop-off locations, vehicle details, service type, and photos/evidence captured by our field staff during a job.
• Billing and payment records — invoices, line items, amounts, payment method, and payment confirmations.
• Account and usage data — login details for staff and customer portal accounts, and basic operational logs (job status changes, who performed an action).

How we use this information

• To dispatch and complete towing and other requested services.
• To generate, send, and track invoices and payments.
• To communicate with customers about job status, invoices, and account matters.
• To maintain accurate financial and business records.

QuickBooks Online integration

CRS can sync Customer, Invoice, and Payment records into a business's own QuickBooks Online company, at that business's request, so their accountant or bookkeeper can work from QuickBooks as usual. Specifically:

• Only customer name/contact details, invoice line items and amounts, and payment records are shared with QuickBooks Online — no vehicle inspection photos or other operational evidence is sent.
• Syncing only happens after a staff member reviews and approves an invoice; nothing is pushed to QuickBooks automatically.
• Data flows in one direction — CRS pushes records to QuickBooks Online; CRS does not read or modify any other data already in a connected QuickBooks company.
• The connection is authorized directly by the business through QuickBooks' own sign-in and consent screen, and can be disconnected by that business at any time from within CRS.
• Access tokens for a connected QuickBooks company are encrypted at rest and are never visible to CRS staff or displayed in the application.

How we protect information

We restrict access to customer and financial data to authorized staff roles, use encrypted connections (HTTPS) throughout the platform, and encrypt sensitive credentials such as QuickBooks access tokens at rest. We do not sell customer information, and we do not share it with third parties except where necessary to deliver a requested service (for example, an outsourced towing partner completing a job, or QuickBooks Online where a business has connected their account).

Data retention

We retain job, invoice, and payment records for as long as needed for accounting, tax, and legal purposes, consistent with Kenyan record-keeping requirements.
